Van Pelt Circulation Desk Student Manual

Discharge of Materials

Discharge:

  • Discharging removes the charged status for materials that are charged to patron records when they return books/materials.
  • Select the discharge icon on the voyager home screen and either scanning or typing the barcode.
  • All materials to be discharged must be stamped with the return stamp
  • Items must be scanned twice so that the status reads "browse" in Voyager.
  • Be aware that items may display a popup note when scanned; if this occurs, the note can be cleared by simply scanning the barcode a second time.
  • If an item has been marked lost or missing, Voyager will generate a popup note.  Please select "cancel" and give the book to a full time staff member.

Materials from other Penn Libraries:

  •  Books/Materials from other libraries on campus can be returned to Van Pelt.
  • Voyager generates a popup note indicating the item's home location; scan the barcode a second time to accept the note.  A routing slip will be automatically printed; this should be folded in half and folded over so that the home library's name is displayed.  The slip is placed in the item and the item is placed on the Other Libraries truck.

Materials from non-Penn Libraries:

  • Materials are borrowed through three different methods-- EZ Borrow, Borrow Direct, and Interlibrary Loan.
  • All items returned from non-Penn institutions must be discharged by full-time staff and should be left on the counter.
  • EZ Borrow and Borrow Direct:
    • Have bands of various colors around the book.
    • Are charged to the patron's record in Voyager just like Penn materials.
    • Are charged for 6 weeks, with one renewal only.
    • Are stamped with the 6 weeks stamp.
  • Traditional Interlibrary Loan:
    • Do not have a band, but a cream colored slip placed inside the book.
    • Are NOT charged through Voyager.  To charge an ILL book:
      •  Use the patron's PennCard to look them up in Voyager, to ensure that they are not blocked.
      • Use the ILLiad web based circulation software; if this window is not open, please ask a full-time staff member for assistance
      • Charge the item out by scanning the transaction number (TN#); the book is automatically charged to the patron.
      • No stamp required,

 DVDs:

  • DVDs are stamped and discharged like all other library materials.
  • Please make sure to check that all pieces are present.  If pieces are missing, DO NOT discharge the DVD.  If the returning patron is still at the desk, please give the item back so that it may be returned complete at a later time.  If the patron has left, please give the item to Patty.
