Opening Procedures

Opening Procedures for the Chemistry Library

  • Opening students should arrive 5 minutes prior to their shift. Unlock the main door of the library using your Penn Card and prop it open at 9am. Please note that, if you prop the door early, it will activate the propped door alarm.
  • Retrieve the keys from the lock box and open the circulation area with the HL-180 key and turn on the lights.
  • Open the computer room with the HLB-10 key and turn on the lights.
  • Check for any books dropped overnight in the return bins in the computer lab and at the circulation desk. Return any items from the bins or left on tables throughout the library in ALMA.
  • Unlock the cabinets in the circulation area 100T key.
  • Open both doors to the Book Room using the HL-180 key.
  • Unlock the Reference Cabinets using the A-101 key.
  • Log into the desktop (directions in “Computer Procedures”)
  • Return keys to the lock box.
  • Return in ALMA and re-shelve any books and/or journals around the library
    • If you are not sure of the items location, “scan in” the item’s barcode in ALMA to determine the proper location.
  • Check the paper trays in all printers and copiers
    • If the paper trays are low, refill them with paper from the cabinet under the printer in the circulation area.
    • If there is no paper in the storage room, please alert a full time staff member. Paper is available in the mail room.

Closing Procedures

Closing Procedures
 

  • Fifteen minutes before closing time
    • Take the list of Chemistry Department faculty members (PIs) from behind the desk, make the rounds of the library, and inform everyone that the library will be closing.  Graduate students and post-docs who belong to a Chemistry Department research group and Chemistry Department faculty or staff members are permitted in the library outside of regular hours; undergraduates, members of the public, and all other departments’ graduate students, post-docs, and faculty/staff are not.

          i.      Ask each individual if they are a member of the Chemistry Department.  Anyone who is not a member of the Chemistry Department must leave the library.  If they say that they are a member of the Chemistry Department, ask to see their ID. 

         ii.      Check the ID to see if it is a graduate student, faculty, or staff ID.  Any undergraduates must leave the library.  Individuals who do not have their PennCards with them must also leave the library before closing, return with their IDs, and swipe back in. 

        iii.      Verify that the person belongs to a Chemistry Department research group.  If the individual has an ID with an appropriate status, ask them if they are a PI.  If they are, ask for their name.   If they are not a PI, ask for the name of their PI.  Check the name against the list of PIs.  If the PI is not on the list or if they refuse to give the name, tell them that they will need to leave the library and swipe back in. 

       iv.      Members of the Chemistry Department will have been informed of these procedures ahead of time and should be prepared to comply.  If anyone becomes belligerent or difficult, do not argue with them. If they choose to remain in the library after it closes and they do not comply with our procedures, please call Public Safety.

    • Ten minutes before closing, knock on the door of any occupied study room and tell the occupant that they have 5 minutes to return the study room key.  This includes the conference room.
    • Five minutes before closing, close the front door of the library, and close the doors to the book room and the computer lab.  Make one final lap of the library and remind any individuals who lack after-hours card access to leave.  If anyone without card access needs to enter the library within 5 minutes of closing, you can let them in, but remind them that they will need to leave within 5 minutes.
    • Before you leave, make sure that all staff areas area appropriately closed and locked 
    • Notify patrons that they must return all reserve materials

Retrieve the keys from the lock box.

    • Return all reserve items, then lock the reserve cabinet and circulations cabinets.
    • Close both doors to the book room, make sure study rooms and conference rooms are closed and locked.
    • Turn off the lights and close the doors to the computer lab.
  • Closing time
    • Log out of the desktop and turn off the monitor, but do not shut off the CPU or printer
    • Return the keys to the lock box.
    • Shut off the light and close the door to the circulation desk
    • Make sure the door to the library is closed and locked as your leave.

  • NO STUDENT WORKERS MAY REMAIN IN THE LIBRARY BEYOND THE TIME IT TAKES TO COMPLETE THE CLOSING PROCEDURES!!
