Phone Calls

• When the phone at the circ desk rings, please answer it
• When you answer the phone, please say “Hi this is the Chemistry Library, how may I help you?”
• If you know the answer to the caller’s question, go ahead and answer it
• If someone wants assistance with an item in their account, please ask them for their name and PennID (the number on their Penn Card). Do not provide assistance with an account unless the person is able to accurately provide their Penn ID.
• If the patron has a question that you are unable to answer on your own, please put the caller on hold (the round button on the lower left corner of the phone pad, with an icon of a phone and a pause button), and ask a full time staff member for assistance. If no full time staff member is present, please take the caller’s name, Penn ID (if applicable), contact information, and a brief message and leave it on your supervisor’s desk. Tell the caller that someone will be in touch with them the next business day.
• If the caller is asking questions about cleaning services, utilities, or other commercial concerns, please tell them that we are not interested and hang up the phone. Sometimes the phone will ring and no one will respond at the other end. These are usually spam calls. Always feel free to hang up if the call is an obvious spam call.
