Getting Started with Researcher Profiles

Individuals who have published at least one item in ScholarlyCommons are eligible to create a Researcher Profile. Researcher Profiles are static pages within the repository that include a professional bio and a list of published works in ScholarlyCommons.  

Benefits 

  • A Dedicated Profile in the ScholarlyCommons
    Researcher Profiles offer sections where individuals can share a professional bio along with their expertise and research interests, introducing them to other researchers exploring the repository
  • Your Works in One Location 
    Researcher Profile Pages list all publications and datasets a researcher has published in the repository, giving individuals an easy way to highlight all their work in ScholarlyCommons. 
  • Increased Discovery of Your Work
    Creating a Researcher Profile add as a hyperlink to your name in ScholarlyCommons.  When your name is clicked on any item your've authored in the repository, visitors will be sent to your profile page, allowing people to locate and explore more of your work in ScholarlyCommons.   
  • A Shareable Link to Your Profile 
    Each Researcher Profile page has a dedicated link which makes it easy to share on personal websites, departmental pages, or social networks and direct other researchers to your collected works in the ScholarlyCommons.   

What Steps are Involved?

  • Complete a Researcher Profile Request form 
  • You will receive an email confirming that your request has been received.  
  • ScholarlyCommons staff will complete work on your profile within about 2 weeks.  
  • You will receive an email notifying you that your request is complete.  

Get started by accessing the Researcher Profile Request Form and reading the directions below.  The same form can be also be used to edit or delete an existing profile.  

Requests may also be submitted on behalf of another individual.  If you are acting on behalf of another person, you will be asked to provide that individual’s name and email address.  An email will be send to the individual informing them of the request and to alert them when their profile is removed from the repository.   

Please note that individuals who submitted work to the repository prior to our migration in May 2023 may already have a profile automatically created for them.  This profile will list the works but will not be populated with biographical information.   

Create a New Profile

Individuals who have authored a work in ScholarlyCommons may create an account.  No Pennkey or ScholarlyCommons account is required.  

Instructions:

  1. On the Researcher Profile Request form, select "CREATE a new researcher profile".   
  2. Indicate if you are submitting the form for yourself or on behalf of another researcher.
  3. Submit your name and email and the researcher’s name and email, if applicable.   
    • If any published works may have been authored under a different name, please enter those names in the "Additional Name(s)" field.  
  4. You will enter details for your Researcher Profile in the Researcher Information section.   All fields are optional except the Name fields.  For a description of each field and guidance for how to fill out the form, see the Fields box below.  
  5. Upload an optional profile photo, if desired. (Maximum file size: 100 MB.  Supported file types: .jpeg, .jpg, .bmp, .gif, .png, .svg, .ico) 
    • To add a photo, click on the arrow to open up a file browser to select your photo file OR   
      Drag and drop a photo directly on the arrow.   

  6. When your form is complete, click the Review button at the bottom of the page. 
  7. You'll be directed to a new page where you can review the information you entered into the form.  Carefully check for any errors or missing information.  
  8. If you need to edit your form, click the Back button.  If you are done, select the Submit button.  

Edit an Existing Profile

In order to edit an existing profile, a new request form must be submitted.  Users are not able to edit their own profiles.  

The form can be used to make the following changes: 

  • Update content 
  • Add new fields to profile
  • Remove fields from a profile 
  • Add missing publications or datasets to your profile 

Instructions:

  1. On the Researcher Profile Request form, select "EDIT a researcher profile".   
  2. Enter the URL of the Researcher Profile you wish to edit  
  3. Indicate if you are submitting the form for yourself or on behalf of another researcher.
  4. Submit your name and email and the researcher’s name and email, if applicable.   
  5. Make your desired changes in the Researcher Information and Additional Updates sections. 
    • Researcher Information fields 
      For each field you’d like to update or any new fields you would like to add, enter text exactly as you'd like it to appear.  Information submitted in a field will replace the content currently displayed on the profile.  Fields left blank will remain unchanged.  

    • Remove Fields  
      Select the field(s) you no longer want to display on your profile.  Any content in those fields will be removed from your profile and the section will no longer be displayed on the page.    

    • Add Missing Items  
      Each Researcher Profile is populated with items in which a researcher is listed as an author or contributor.  Sometimes items may be overlooked due to the use of a different version of one's name, typos, or administrative errors.  

      If any of your publications or datasets in ScholarlyCommons are missing from your Researcher Profile, please enter the URLs of those items in the "Missing Publications and Datasets" field.  We will also accept a list of citations.   

  6. When complete, click the Review button at the bottom of the page. 
  7. You'll be directed to a new page where you can review the information you entered into the form.  Carefully check for any errors or missing information.  
  8. If you need to edit your form, click the Back button.  If you are done, select the Submit button.  

Delete a Profile

Researcher Profiles may be deleted at any time and for any reason. 

Please note that deleting a researcher profile in ScholarlyCommons will only remove the static landing page.  It will not remove the individual as an author or contributor on works archived in ScholarlyCommons.

Instructions: 

  1. Select DELETE a researcher profile  
  2. Enter the URL of the Researcher Profile you wish to edit 
  3. Indicate if you are submitting the form for yourself or on behalf of another researcher.    
  4. Submit your name and email and the researcher’s name and email, if applicable.   
  5. When complete, click the Review button at the bottom of the page. 
  6. You'll be directed to a new page where you can review the information you entered into the form.  Carefully check for any errors or missing information.  
  7. If you need to edit your form, click the Back button.  If you are done, select the Submit button.  

Fields

A short description of the available Researcher Profile fields and some helpful tips are listed below.  

  • First and Last Name  
    • If you use your middle name or initial, include that in the first name field.   

    • Please do not enter Prefixes such as Dr.  

    • Please do not enter degree acronyms.   

  • Position - Your current title.  If you have more than one title, please write them in one line.   
    • Example:  Assistant Professor of Boba Tea, Manager of the Caffeine Lab, and Director of the Center for Coffee Excellence  
  • ORCID ID - Your unique, persistent digital identifier. 
  • Discipline - Your area of study.    
  • Research Interests - The subjects, topics, and questions that comprise your research focus. 
    • No limit but we recommend no more than 10 research interests.   
  • Introduction - A short statement or biography describing your work and research.  (Limited to 1000 characters.)  

FAQ

Who can create a researcher profile in  ScholarlyCommons?  
Individuals who currently have items published in the repository may create a researcher profile.  A ScholarlyCommons account and an active Pennkey are not required to create a profile.   

Can I add links to my researcher profile?  
No, we are unable to add hyperlinks to the Researcher Profile.  The only field that generates a link is the ORCID ID.   

Can I create/edit/delete a profile on behalf of someone else?   
Individuals may submit a form on behalf of another researcher.  It is expected that the researcher has provided their consent to the request.  An example of an appropriate use case is if a department administrator would like to create a profile for their faculty member.  The researcher’s name and email address must be provided.  ScholarlyCommons staff will send an email to the researcher to notify them of the request and to inform them when the request is completed.   

How do I create/update/delete a researcher profile?   
Any requests regarding researcher profiles must be submitted through the Researcher Profile Request form.  Please do not email your requests to ScholarlyCommons.   

Can I add items published on other repositories to my Researcher Profile page?  
No, items listed on researcher profiles are limited to items published on ScholarlyCommons.   

Why are some of my publications missing from my Researcher Profile?   
Publications are added to a profile based on an individual’s name.  If an author has publications that use different versions of their name, the system recognizes these as unique individuals and may not automatically populate these items into the profile.  The ScholarlyCommons team can manually correct this and properly map all works to a single indivdual.   To add missing items, complete the Researcher Profile Request form.  Please provide the URL for each missing item.  We will also accept a citation list of missing works.
